Data Protection and Privacy Information for Parents and Carers

Holy Trinity Church of England (Controlled) Primary School complies with the UK General Data Protection Regulation and the Data Protection Act 2018. These laws set out how personal data must be used, stored and protected, and the rights individuals have over their information.

How we use personal data

The school holds personal information about pupils to support their education, wellbeing and safety. This information is stored securely in electronic systems and paper records. The Headteacher is responsible for ensuring data is accurate, up to date and kept securely.

Parents and carers are asked to inform the school of any changes to personal details so records remain accurate.

Access to information

Pupil information is only accessible to staff who need it to carry out their professional duties. All staff and governors receive appropriate data protection training and are legally required to keep information confidential.

Sharing information

Personal data is shared only where necessary and lawful. This may include sharing information with the Local Authority, the Department for Education, health services, examining bodies or other professionals involved in a child’s care or education.

In some cases, information must be shared by law, for example in response to a court order. In other situations, written consent will be requested before information is shared.

The school will not disclose personal information by telephone or email unless we are satisfied we are communicating with a parent or carer. Information will not be shared with family members or friends without written consent, and confidential messages will not be left with third parties.

Data security

All personal data is held securely and appropriate safeguards are in place to prevent loss, misuse or unauthorised access.

Your rights

Parents and carers have the right to request access to their child’s records. Requests should be made through the school office and an appointment will be arranged. There is usually no charge.

You also have the right to request corrections to inaccurate information and, in some circumstances, to restrict or object to processing.
